๐Ÿ“ Turn meetings into action items automatically

The most expensive part of a meeting isn't the hour โ€” it's the decisions that evaporate afterward. This workflow captures every meeting, pulls out the action items, and assigns them, in about five minutes of your time.

Step 1: Capture the meeting

Step 2: The extraction prompt

Here is a meeting transcript/notes: [paste]. Produce: 1. SUMMARY โ€” 5 bullets max, decisions first. 2. ACTION ITEMS โ€” a table: task, owner, deadline. If owner or deadline wasn't stated, mark it โ“ so I can chase it. 3. OPEN QUESTIONS โ€” anything discussed but not decided. 4. PARKING LOT โ€” ideas raised but out of scope. Do not invent tasks that weren't discussed.

Step 3: Close the loop

Turn those action items into a short follow-up message I can send the group. Friendly, brief, tasks grouped by owner, deadlines bolded, and a one-line ask: reply if anything's wrong or missing.

Send it within an hour of the meeting while memory is fresh. This single habit โ€” same-day action items in writing โ€” will make you the most organized person in any company.

The โ“ rule

Notice the prompt flags missing owners and deadlines instead of guessing. A task without an owner and a date isn't a task, it's a wish. Chase every โ“ before you send the recap.

Weekly roll-up: save the recaps in one document. On Friday, paste the week's recaps in and ask: "Which action items from this week have deadlines next week? Build me a Monday checklist."
